4. OEM custom programs

OEM partners can run any of four customization programs, individually or stacked, without tooling fees on the first three.

Co-branded labeling

We laser-mark a co-brand identifier on each cuvette body or on the packaging label. Common patterns: instrument SKU + MQ part number, distributor SKU + JGS grade, or a custom batch identifier. Lead-time impact: zero. Cost impact: $0.05–0.20 per piece depending on mark complexity.

Private label

Cuvettes ship blank or with the partner’s logo only. Packaging carries partner branding (we supply blanks; partner supplies artwork). Documentation can be issued in partner letterhead with our QC signature on a controlled-access basis. Common with regional distributors and instrument OEMs that resell as “compatible accessories.”

Custom geometry without tooling fees

Geometry changes within our standard machining envelope ship with the same lead time as catalog stock and incur no tooling fee:

  • Path lengths from 1 mm to 100 mm

  • Custom well sizes for XRD/specimen holders
  • 2-way, 4-way, or non-standard polish patterns

Net-new geometry that requires fixturing or new machining programs (typically very small wells, very long path lengths, or curved-bottom designs) is quoted as a one-time engineering charge plus a per-piece price; we provide the 2D drawing for sign-off before any machining starts.

5. Quality documentation we ship with every bulk order

The documentation set is what makes a cuvette procurement-grade rather than research-grade. The five documents below cover what pharma QC, IVD makers, OEM partners, and well-run university procurement actually ask for.

Always shipped (no charge)

  • Certificate of Analysis (CoA) — material grade, chemical composition, raw quartz supplier of origin, and signed-off conformance to the order spec.
  • Dimensional inspection report — outer dimensions, path length, window flatness, well dimensions where applicable. Per-piece reporting for orders ≤ 50 pieces; AQL-1.0 sampling for larger orders.
  • JGS-grade certificate — transmission curve from the raw-quartz supplier showing JGS1, JGS2, or JGS3 conformance. Important for pharma validation lots and IVD device makers who need supplier-of-origin traceability.

Standard on OEM & pharma orders, on request for others

  • Batch production record — production date, machining cell ID, operator, lot number, and QC sign-off. The format that pharma QC validates against and that IVD makers need for FDA 510(k) submissions.
  • QC photo log — hi-resolution photos of every cuvette face at outgoing QC. Default for orders ≥ 100 pieces; on request for smaller orders. The photo log is what lets a partner’s incoming inspection short-cut to verification rather than full re-inspection.
Document language: all CoAs and reports are issued in English by default. Spanish, French, German, Japanese, and Korean translations are available on request with 2–3 business days lead time.

Lead time scales with both volume and customization. The five order size classes in Figure 4 cover most of what we ship.

Stock items (3–7 working days)

The 60+ catalog SKUs we keep in stock include 10 mm path standard cuvettes (browse the cuvette catalog), micro cuvettes from 0.5 mm to 5 mm, fluorescence 4-clear-side cuvettes, cylindrical/reflectance cuvettes, demountable cells, screw-top cuvettes, and IR-grade NIR cuvettes. Orders of 2–50 pieces against catalog SKUs ship within 3–7 working days from PO confirmation, including documentation prep.

Small batch custom (12–18 working days)

5–50 pieces of custom geometry that fits our standard machining envelope. Includes drawing review, machining-program setup (one-time per geometry, no charge for repeat orders), production, QC, and shipping prep.

Production runs (18–25 working days)

50–499 pieces of stock or custom geometry. Drawing review and program setup happen in parallel with raw-quartz blank prep. Production runs in dedicated machining cells; QC samples per AQL-1.0 with full inspection on the first article and last article of every batch.

Large runs (25–35 working days)

500–999 pieces. Same workflow as production runs but with longer raw-material prep and more parallel machining cells. DDP terms standard at this size.

OEM scale (35–50 working days)

1,000+ pieces. Includes optional first-article approval cycle (we ship 5–10 pieces from the production run for partner sign-off before completing the rest). Large OEM contracts run as scheduled call-off shipments against a master PO.

7. Logistics & global delivery

We ship from our factory in Donghai, China — one of the world’s largest fused-quartz manufacturing clusters. Default freight is FedEx International Priority on DAP terms; DHL Express, UPS, and sea freight (≥ 500 pcs) are available on request.

  • DAP (default for most orders): we ship FedEx Express to the partner’s address; partner clears customs and pays import duty on arrival. Standard for orders 2–499 pieces.
  • DDP (500+ pcs, on request): we ship and clear customs in partner’s country; landed cost included in PO. Available for US, EU, Japan, Korea, Singapore, Australia.
  • EXW (alternative): partner’s nominated freight forwarder picks up at factory. Useful for partners running consolidated freight programs.
  • FCA / FOB Shanghai: partner books vessel; we deliver to terminal. For sea-freight orders 500 pieces and above.

Insurance and damage policy

Air shipments include carrier-default declared value coverage. Higher-value orders (≥ $5,000) ship with a separate cargo insurance policy issued by Ping An Insurance covering glass-breakage, transit damage, and loss in transit. We cover replacement at no charge for any documented breakage in transit; a per-piece replacement-stock allocation is built into the quote so replacements ship the same day a claim is documented.

8. How to qualify for OEM rates

OEM-tier pricing (annual contract pricing, 30%+ discount, NET 30 terms, dedicated account manager) is unlocked by three things in combination:

1. Annual volume commitment

Minimum $25,000 USD annual spend or 1,000 pieces per year, whichever comes first. Smaller commitments still qualify for the standard volume tiers in Section 3 but skip the OEM-specific terms.

2. Sample-batch first-article approval

For new geometries, we ship 5–10 pieces from the production run for partner sign-off before completing the remainder. The first-article cycle adds 7–10 working days to the first batch lead time and is included in the contract pricing — no separate sample fee.

3. Master Service Agreement (MSA)

An MSA covers payment terms, QC documentation requirements, change-notification, IP boundaries, exclusivity (if any), confidentiality, and dispute resolution. Standard MSA template runs ~6 pages; partner legal review typically takes 5–15 working days. We accept partner-template MSAs and have closed deals on both sides.

What we don’t require for OEM rates: exclusivity (you can dual-source), large upfront deposits (NET 30 standard), tooling fees on geometry within our standard envelope, or per-shipment minimum quantities beyond the annual commitment.

11. Frequently asked questions

What is your minimum order quantity for bulk cuvettes?

Two pieces. Most competitor OEM programs require 50 to 100 pieces minimum to start a wholesale or OEM account, but MachinedQuartz opens an OEM account with a 2-piece evaluation order against any catalog SKU or any custom geometry within our standard envelope. The 2-piece floor exists because our production runs in flexible machining cells rather than dedicated automated lines, so changing geometry between shifts is a normal operation rather than a tooling event.

How does volume discount pricing work?

We use seven discrete tiers. Discounts apply to the entire order, not just incremental pieces past a break point. Tiers run from list price at 2-4 pieces, 5% off at 5-9, 10% off at 10-49, 15% off at 50-99, 20% off at 100-499, 25% off at 500-999, and 30% or more at 1,000-plus pieces. What payment terms do you accept?

First-time small orders up to $2,000 are paid via PayPal or credit card (Visa, Mastercard, AmEx). Repeat customers move to 50% deposit / 50% before shipment via wire transfer. OEM contracts at $25,000 per year or above qualify for NET 30 with a signed MSA and credit verification. US-based pharma and university buyers with a valid PO can pay by ACH or check on validated POs.

Can you private-label cuvettes for our brand?

Yes. Cuvettes ship blank or with the partner’s logo only; packaging carries partner branding (we supply blanks; partner supplies artwork). What QC documentation ships with bulk orders?

Three documents always ship at no charge: a Certificate of Analysis covering material grade and chemical composition, a dimensional inspection report (per-piece for orders up to 50, AQL-1.0 sampling for larger orders), and a JGS-grade certificate showing the transmission curve from the raw quartz supplier. Two more documents are added by default for OEM, pharma, and IVD orders, and on request for any other order: a batch production record (production date, cell ID, operator, lot number, QC sign-off) and a hi-resolution QC photo log of every cuvette face at outgoing inspection.

Do you sign NDAs before sending drawings or quotes?

Yes. We accept partner-template NDAs and have closed mutual NDAs in 24-48 hours during normal business cycles. Standard MQ NDAs are mutual, cover 5 years, and protect partner geometry, target volumes, end-use application, and pricing. We do not require an NDA before initial quote conversations; we sign before any partner-specific drawings or proprietary geometry data are shared.

How long does shipping take to my country?

What happens if cuvettes break in transit?

Air shipments include carrier-default declared value coverage, and orders 5,000 USD and above ship with separate cargo insurance issued by Ping An Insurance covering glass-breakage, transit damage, and loss in transit. We replace any documented breakage at no charge. Each bulk PO includes a per-piece replacement-stock allocation, so replacement units typically ship the same day a claim is documented rather than waiting for a new production run.

Can I tour your factory or audit your QC process?

Yes. We host partner audits with 2-3 weeks advance notice and have hosted audits from US-based pharma QC teams, EU instrument OEMs, and Japanese distributors. Standard audit covers material handling, machining cell flow, polishing, dimensional inspection, transmission verification, and packaging. We also accept third-party audits from SGS, TUV, and Bureau Veritas if your procurement compliance requires an arms-length audit. Travel expenses are typically the partner’s responsibility but lodging and ground transport in our region can be arranged through us.
